For many office workers, what's more exhausting than the meetings themselves is often scheduling them. To rescue project managers from calendar hell, Google announced a solution in Google Calendar.Import Gemini AI functionIt can automatically analyze attendees' schedules and help you find the best time for your meeting.
AI helps you check your calendar; it can even automatically reschedule if you decline.
When you're setting up a meeting or event, the new Google Calendar interface includes a "Suggested times" option. Clicking it will cause Gemini to automatically retrieve and analyze the calendar status of all invitees, identify potential scheduling conflicts, and then provide a list of convenient times for the organizer to choose from.
Even smarter, this feature can handle the hassle of rescheduling. If multiple key figures decline the invitation after it's sent, Gemini will proactively detect this and automatically suggest a new time when everyone is actually available when the organizer checks back on the event. This allows you to quickly update meeting invitations without having to confirm with each person individually via private message.
You have to pay to use it, and you also need to grant access permissions.
However, there are prerequisites for enjoying this AI secretary-level service.
First and foremost, privacy is paramount. Gemini only works if you (the organizer) have permission to view attendees' schedules. This means the feature is primarily suited for internal company or organizational meetings; for cross-company external meetings, the AI is useless without access to the other party's schedule.
Secondly, this is a paid feature. Currently, it is only available to subscribers of Google Workspace Business (Standard/Plus), Google Workspace Enterprise (Standard/Plus), or Google AI Pro for Education.
